Based in Lubbock, Texas, Texas Tech University was created by legislative action in 1923 and has the distinction of being the largest comprehensive higher education institution in the western two-thirds of the state of Texas. The university is the major institution of higher education in a region larger than 46 of the nation’s 50 states and is the only campus in Texas that is home to a major university, law school and medical school.
I work within the College of Media & Communication, which entails the fields of photography, journalism, filmmaking, etc. Part of my position is to run the equipment check out room. We have a number of assets that are being used by students and faculty, including photo, audio and video equipment; desktop, laptop and tablet computers; printers; projectors; displays – even consumables such as batteries and printer ink/toner. All of these items are important tools to help students learn and grow into more experienced and capable creators.
Previously, we used paper agreements that the person assigned a particular asset would sign upon checkout. We would then file it away chronologically in what I’d describe as “comically large” binders and folders. This method just didn’t work and we didn’t have real up-to-date data on what assets we owned and where many of them were. In fact, I’m still to this day finding assets that are unverified, untrackable and often missing or gone for good.
We turned to Asset Panda as a way to set up an online checkout system to keep better track of our assets available to our students as well as keeping track of the thousands of pieces of technology we own. With Asset Panda, we have been able to solidify our history of what student/faculty/staff member had what item and for what period of time. The data that Asset Panda provides us an incredible upgrade over our paper-based, human error prone system.
We are getting good use out of both the desktop and mobile versions. I’d say we probably use the desktop browser to access Asset Panda the majority of the time. We use it to let those checking out equipment digitally sign for items that are then turned into forms we can print as necessary. The mobile app has come in handy when we are away from our desks to keep track of computer assignments in faculty/staff offices. We are also finding it useful to scan barcodes for printer ink to better keep track of what’s being used.
Thanks to Asset Panda, we have gotten rid of a messy paper trail while gaining an accessible and accurate digital record with limited human error. A definite win for students, faculty and staff!
