How can Asset Panda help our county track equipment based on its specific funding stream or grant requirements?

Asset Panda helps counties track equipment purchased with restricted funding by allowing you to create custom fields such as Funding Source, Grant ID, Grant Year, or Federal/State Program. These fields can be added to each asset record and used to filter, group, or report on assets associated with a particular funding source. Saved Views and exports make it easy to provide auditors with accurate reports showing the location, status, and usage of grant-funded equipment, ensuring compliance with federal and state requirements.

Asset Panda provides a verifiable chain of custody for sensitive equipment by requiring users to submit a transfer or check-out form that updates the asset’s Assigned To and Status fields. Each submission is logged in the Activity Stream with the user who performed the update and the exact timestamp. You can also add a required Signature field to the form so the receiving employee signs directly on a mobile device, creating a tamper-proof, auditable record of possession for vehicles, radios, and other sensitive assets.

Yes. Asset Panda can calculate depreciation for capitalized assets when the required depreciation fields are configured (such as Asset Cost, Useful Life, Salvage Value, and Date Placed in Service). You can create a Saved View that displays accumulated depreciation, book value, and other financial fields needed by auditors and your finance department. This view can then be exported as an Excel or CSV file—or included on a dashboard for PDF export—providing clear documentation for capital asset reporting and audit support.

Asset Panda supports inter-departmental transfers by using custom Update Forms that change fields such as Assigned Department or Location. Each transfer is logged in the Activity Stream, providing a time-stamped record of who performed the update. To maintain separate views for each department or unit, administrators configure Limited Record Visibility or User Templates with filters so users only see assets belonging to their own department, while company administrators retain full access across all units.

The best way to handle duplicate employee records created after an Active Directory sync is to prevent duplicates by configuring a Unique Field—such as Employee ID—on the People collection. This ensures future imports or sync-related updates cannot create additional duplicates. For existing duplicates, administrators must identify the correct record, use Data Import (Update) to ensure it contains the right information, reassign any linked assets if necessary, and then manually delete the redundant employee records.
